References to “Kheiron” mean the Kheiron School of English Ltd or its staff and employees.

How to book a course

To secure a place on a Kheiron course, please return the Application Form together with payment of deposit. The Application form can be sent by email, fax or by mail although we recommend electronic submission. The deposit may be paid by cheque or by bank transfer.

Payment of fees

On receipt of the Registration Form and deposit a letter of confirmation is sent with a Statement of Fees which should be settled at least 4 weeks before the course starting date. In the case of registration less than 6 weeks before the course starting date, the full amount of the cost of the course must be sent with the Registration Form. PLEASE NOTE: students will not be allowed to start their course unless FULL PAYMENT has been received by Kheiron.

Accommodation

Students will receive details of their College room or host family address at least 5 days before the course starting date, unless they enrol late. This enables those students travelling independently to let the college or host family know of their approximate time of arrival.

Late enrolments

There is no latest registration date for courses, but it is advisable to book at least 1 month before the course starting date.

Insurance

Students must have appropriate Medical and Travel Insurance and must provide proof of adequate cover at the time of enrolment

Cancellation conditions before the course begins

If Kheiron receives the cancellation more than 14 days before the course starting date, Kheiron will retain the deposit.

If Kheiron receives the cancellation less than 14 days before the course starting date the equivalent of one week’s fees will be charged.

A credit on tuition is considered in cases of serious illness or bereavement in the immediate family, providing we receive documentary evidence.

Cancellation conditions once the course has started

The student will not be entitled to any refund once the course has started.

Upgrading and downgrading courses

Students can only exchange their course for an existing available Kheiron course.

No refunds will be made to students who choose to exchange their original choice of course for one of lesser value.

Students who choose to exchange their original choice of course for one of greater value must pay the difference between the two at the time of requesting the upgrade.

Kheiron may charge a booking amendment fee of £30 if you change the course or accommodation you originally booked.

Arrangements for going out in the evening

Students must respect the house rules of the College or Host Family, when their proposed times may inconvenience the college or family; or the authority of the Kheiron Director, where local conditions may make such times inappropriate. Please note that Kheiron cannot be held responsible for any incident whilst the student is out unsupervised.

Age limits for students on courses

Unless specifically agreed otherwise, between Kheiron and the student, students must be at least aged 18 to register for one of the Kheiron courses.
Students who are under the Kheiron minimum age limit, without prior specific agreement, will not be admitted and will be asked to return home at their own expense.

Liability

Kheiron, staff or representatives are not liable for any loss, damage or injury to people or property or as a result of consequential losses, except where we have a liability under UK law.

Kheiron is an intermediary between its students and travel organisations and homestays or other accommodation providers and any extra-curricular or off-site services. Under no circumstances can Kheiron be held responsible for any delay, accident or loss which may happen during the student’s stay with the homestay or other accommodation provider, or during any extra-curricular or off-site activity.

Kheiron will, however, endeavour to defend the student’s interests in the event of breach of contract on the part of the travel organisation, the homestay or other accommodation provider, or extra-curricular or off-site service.

Please note that KHEIRON cannot be held responsible for any incident whilst the student is out unsupervised.

Kheiron, staff or representatives are not liable for any loss, damage or injury to people or property or as a result of consequential losses when Kheiron cannot provide services or programmes for any reason.

In the event of circumstances beyond its control, Kheiron reserves the right to cancel a course, to offer alternative dates or venues, and to make changes to course arrangements as required.

If Kheiron cancels a course, all fees will be refunded. Refunds are paid in your home country. If you enrolled through a representative the refund will be paid to your representative.

If a change to the services is offered: including details of locations, courses, facilities and dates of programmes; or where the number of students at any level is insufficient to form a viable group, Kheiron may provide group lessons at a different time of day or location, or one to one lessons. Alternatives provided will be of equivalent or greater financial value.

Further conditions

Kheiron reserves the right not to allow on the course a student suffering from any mental or physical disability which has not been disclosed on the Application Form.

Kheiron reserves the right to use photographs taken during courses to illustrate its promotional material. If a student wishes that his or her photo should not appear in this material, they should write or email  to Kheiron within twenty days of the photo-shoot. These photos have no commercial or contractual value. Courses will either take place at Kheiron's premises at 9 Park End Street, Oxford OX1 1HH or at an Oxford University college.

Conduct of Students

All students must follow the rules of each course, and follow our instructions.

Kheiron may expel any student without a warning letter if a student commits a serious offence, especially one, the involving the police and to include the following: theft or possession of, purchase of or consumption of illegal drugs. In such cases Kheiron will not return fees and the student will have to pay any additional travel or other costs. Students who cause damage will have to pay the full cost of replacement or repair.

Statutory Rights

These terms and conditions will be interpreted under UK law and they do not affect your statutory rights under UK law.
